Refund & Cancellation Policy

Deposit (£40)

The £40 booking deposit is non-refundable. This secures your date and covers our admin time, calendar block and equipment reservation.

Customer cancellations

  • More than 14 days before the party: we keep the £40 deposit; any balance already paid is refunded in full.
  • 7–14 days before: we keep the £40 deposit + 50% of the remaining balance, the rest is refunded.
  • Less than 7 days before: no refund — kit has been blocked from other customers and travel has been planned.
  • Cancellations must be made in writing (text or email) to bookings@carmarthenplayco.com or 07852 599015.

Cancellations by us

If we have to cancel (for example, severe weather making setup unsafe — see our Weather Policy), we will offer a free reschedule first. If no suitable date can be agreed, you'll receive a full refund including deposit.

Rescheduling

You may reschedule once free of charge with at least 7 days' notice (subject to availability). Inside 7 days, a £20 admin fee applies.

Refund timing

Refunds are processed via Square back to the original card, usually within 3–5 working days but up to 10 in busy periods.

Damage / cleaning

You're responsible for the equipment while it's at your venue. Excessive cleaning (food, drink stains, sticky residue) is charged at £30. Damage beyond fair wear is charged at repair/replacement cost.
