Please read these terms carefully before booking. Making a booking confirms your agreement to these terms.

1. Booking & Payment

• All bookings require a £40 non-refundable deposit paid online at the time of booking. Your date is only secured once the deposit is received.

• The remaining balance is due on the day of hire, in cash, paid to our driver before setup begins.

• Bookings can only be made on dates shown as available in our online calendar.

• Hire times are start-to-finish of your party. We arrive 30 minutes before to set up and require 30 minutes after to pack away — this is included free of charge.

2. Cancellation & Rescheduling

• Your £40 deposit is non-refundable in all circumstances.

• You may reschedule once, free of charge, provided you give us at least 14 days notice. Your deposit will be transferred to your new date (subject to availability) and must be used within 6 months.

• Less than 14 days notice: the deposit is forfeited and no rescheduling will be offered.

• In the unlikely event that we have to cancel (e.g. illness, vehicle breakdown, severe weather affecting an outdoor hire), you will be offered a free reschedule or a full refund including your deposit.

3. Supervision (Important!)

A responsible adult (18+) MUST supervise children using our equipment at ALL times.

• We provide drop-off, professional setup, and pack-away only — we do not stay to supervise the equipment during your hire.

• The hirer (you) is responsible for the safe use of the equipment for the entire duration of the hire.

• Children must be grouped by age and size — please do not let small children play with much bigger children.

4. Equipment Use — Safety Rules

For everyone's safety and to protect our equipment, the following rules apply:

No shoes on any equipment — socks must be worn

No food, drinks, chewing gum, sweets or sticky substances on or near the equipment

No face paint, party poppers, streamers, silly string, slime or glitter anywhere near the equipment

• No sharp objects: jewellery, badges, belts, watches, buckles must be removed

• No glasses or sunglasses to be worn while using

• No pets near the equipment

• No climbing the walls, rough play, somersaults, or piggybacking

• Bouncy/Activity Castle: max 6 children at a time

• Soft Play setups: max 8 children at a time

• Age limits as stated for each package must be respected

5. White Castle & Luxury White Soft Play

Our premium white setups have additional rules to keep them looking pristine:

INDOOR USE ONLY — these items must not be set up outdoors under any circumstances

Strictly no face paint — this is the most common cause of permanent staining

• Hirer accepts full liability for any stains or damage to white equipment:

— Minor marks/stains: minimum £50 cleaning charge
— Irreparable damage / replacement: up to £500 charge

6. Setup Requirements & Space

Before we arrive, please ensure:

• A clear, level surface is available (indoor flooring, grass, or hard standing)

• A minimum 1 metre clearance around the setup area

• For inflatables: a working power socket within 25 metres of the setup

• Gate access of at least 90cm width for equipment delivery

• Access at least 30 minutes before your hire start time

⚠️ Important — Space Dimensions:

It is the hirer's responsibility to ensure the equipment will fit in the space provided. Please check the dimensions of your chosen package before booking — measurements are available on request.

• If we arrive and the equipment does not fit the space, or access is not as required, the full hire fee will still be payable as we will have travelled and prepared for the booking.

7. Outdoor Hires & Weather Policy

⚡ Safety First: Our castles require electricity to run, which means they cannot be used outdoors in the rain — it is a serious safety risk.

We strongly recommend booking your hire indoors (village hall, function room, gym, etc.) — this guarantees your party goes ahead regardless of the weather.

• Outdoor hires of coloured inflatables are subject to weather conditions. We will not set up outdoors if:

— Any rain is forecast during your hire time
— Wind speeds exceed 24mph (Beaufort scale 5)
— Thunderstorms or lightning are forecast

• Weather decision: We check forecasts the morning of your hire. If outdoor setup is not safe, we will contact you to either:

— Move the setup indoors if you have suitable indoor space, OR
— Reschedule the booking for the next available date (deposit transferred), OR
— Issue a full refund including deposit if no alternative works

White equipment cannot be used outdoors at all — see section 5.

8. Damage & Cleaning

• The hirer is responsible for any damage caused during the hire period.

• Equipment must be returned in the same condition received.

• Excessive cleaning required (mud, food, sticky substances): £30 cleaning charge.

• Damage requiring repair: charged at cost.

• Loss or theft during the hire period: hirer liable for full replacement value.

9. Insurance & Liability

• The Carmarthen Play Co. carries full public liability insurance.

• Use of the equipment is at the hirer's own risk.

• We are not liable for any injury, loss or damage caused by misuse of the equipment, failure to follow the safety rules, or lack of supervision.

9b. Party Extras — Safety & Liability

If you hire party extras (bubble machine, limbo set, pin-the-tail-on-the-donkey, parachute) the same hirer responsibilities apply, plus:

Bubble machine: mains electric appliance. Must be plugged into a working RCD-protected socket. Keep all liquids away from the electrics. Wipe up any spills immediately — bubble fluid creates slippery surfaces. Adult supervision is required at all times. We are not liable for any slip, electric shock, injury or damage caused by misuse, spillage, or failure to keep the machine on a flat dry surface.

Wooden Limbo Set: adult supervision required. Use only on a soft, level surface with clear space all around. Not for unsupervised under-3s. We are not liable for injury caused by misuse, rough play, falls, or unsupervised use.

Parachute Game: adult supervision required at all times. Not suitable for children under 3 years; never to be used with under-10-month-olds. We are not liable for injury caused by misuse or unsupervised use.

Pin the Tail on the Donkey: adult supervision recommended. Keep other children clear while a blindfolded player is pinning. We are not liable for any injury caused by misuse.

• All add-on equipment must be returned in the same condition received. Damage, loss, or excessive cleaning will be charged at repair/replacement cost.

10. Photography

• We may take photographs of our setups (without any children in shot) for social media and marketing.

• Please let us know before your hire if you'd prefer we don't take any photos of your venue/setup.

11. Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our control — including but not limited to severe weather, vehicle breakdown, illness, or government restrictions. In such cases we will issue a full refund including deposit.

12. Hire Agreement — Safety Rules

These instructions are intended to help your children have a fun time, and ensure their safety. Please read and follow the safety and hire instructions listed. Use your own common sense and have a great time!

1. It is the responsibility of the person who is hiring the bouncy castle to ensure that all possible steps are taken to avoid injury to users or damage to the bouncy castle.

2. A responsible adult must closely supervise the bouncy castle at all times.

3. No adults are allowed on the bouncy castle unless you have hired an adult bouncy castle, otherwise, the bouncy castles have an age limit of 12 years. It is strictly prohibited for both children and adults to be on the bouncy castle at the same time. If children are on the bouncy castle then no adults are allowed on the bouncy castle and vice versa.

4. Always ensure that the bouncy castle is not overcrowded, and limit numbers according to the age and size of children using it. It is advised that children of mixed ages should not use the bouncy castle at the same time.

5. Do not allow children or adults to become boisterous, push, collide, fight or behave in a manner likely to injure or cause distress to others.

6. To avoid choking and mess, no food, drinks or chewing gum should be allowed on or near the bouncy castle.

7. All footwear, glasses, jewellery or any other hard, sharp or dangerous objects which could cause damage to other children or the equipment must be removed before using the bouncy castle.

8. No face paints, party poppers, coloured streamers or silly string to be used either on or near the bouncy castle.

9. No smoking or barbeques on or near the bouncy castle.

10. No pets to be allowed on or near the bouncy castle.

11. Climbing, hanging or sitting on walls or beams of the bouncy castle is dangerous and must not be allowed.

12. Do not allow anyone to bounce on the front safety step as a child could easily bounce off the step and get hurt. The step is there to assist users in getting on or off.

13. Ensure that no one with a history of back or neck problems is allowed on the bouncy castle as indeed any child who is feeling unwell or taking medication.

14. If the bouncy castle is not being used for any part of the day, please switch the blower off at the mains.

15. Do not allow anyone to be on the bouncy castle during inflation or deflation or whilst deflated.

16. Please warn children of the tie down points (if appropriate) and make the area behind the unit, where the electrical blower is sited, out of bounds for children.

17. The bouncy castle should not be used if it becomes wet on the jumping area. If no shower cover is fitted and in the event of rain, the bouncy castle should not be used.

18. In the event of heavy rain, it is strongly recommended that the bouncy castle be switched off. Any wetness, including bubbling (which is normal) can be dried with a towel.

19. Should the equipment fail for any reason, please ensure all users get off the bouncy castle immediately.

20. No unauthorised person should move the bouncy castle or tamper with the electrical equipment.

21. The inflatable must be returned in an acceptable condition, i.e. clean, unsoiled and undamaged. If it is badly soiled or damaged the hirer will be expected to pay an additional charge to cover the cleaning costs and our loss of earnings if the inflatable is rendered out of commission for any reason.

22. We are insured with full public liability insurance against the failure of our hire equipment, any claim is subject to an excess which the hirer concerned would be liable for.

By ticking the agreement box at booking, you confirm:

"I have read, understood and agreed to comply with the rules, regulations and conditions set down by The Carmarthen Play Co. as listed above in their Hire Agreement. I understand my insurance will be void if the Hire Agreement is not complied with."

THE CARMARTHEN PLAY CO. CANNOT ACCEPT ANY RESPONSIBILITY FOR INJURY OR LOSS SUSTAINED TO ANY PERSONS THROUGH THE USE OF OUR EQUIPMENT.
